How to export Podio to CSV or Excel without losing your pipeline

Podio exports an app to an Excel file, not a CSV, and it only exports the fields the view you pick shows. If you run a wholesaling CRM in Podio, that second part is the one that bites: export from the wrong view and you lose the stage each lead was in. Here is how to do it so the pipeline comes out with the leads.

Export a Podio app

  1. 01

    Open the app

    Your Leads (or Sellers, or Properties) app, whichever holds the records you want.
  2. 02

    Click the wrench icon

    Choose the Excel export Export to Excel.
  3. 03

    Wait for the file

    Podio builds it in the background. The download shows up in your notifications, or under your profile in Batch jobs.
  4. 04

    Repeat for each app

    Leads, Properties, Buyers and Tasks are usually separate apps, so each needs its own export.

The 20,000-item limit

One export holds up to 20,000 items Export to Excel. For a bigger app, filter it (for example by created date) and export it in parts.

Pick the right view first

  • "All items" exports every field, plus created on, created by and tags. Use this one for a move.
  • A table view exports only the columns that view shows. Good for a quick list, bad for a migration.
  • Field names are yours. Podio exports your app's own field labels, so two Podio CRMs built from different templates produce different columns.

Turn the Excel file into a CSV

    Open it in Excel or Google Sheets

    Check that the header row is the first row, with one record per row below it.
  2. 02

    One sheet per file

    If the workbook has more than one sheet, save each one separately.
  3. 03

    Save as CSV (UTF-8)

    In Excel: File, Save As, CSV UTF-8. In Google Sheets: File, Download, Comma-separated values.

Keep each lead's stage

The stage is just another field in Podio, so it only comes out if your view includes it. Two common wholesaling templates use these stage names. Most CRMs have a stage for each of them under a different label.

Before you import anywhere, add a column that maps your stage names onto the new tool's, and carry over any do-not-contact or "wrong number" labels as a suppression list, not just a dead stage.
