The first email
- The subject names the property. It's true, specific, and doesn't look like an ad.
- One question, easy to answer. A reply of "maybe" is the goal, not a call booked.
- Who you are, in full. Your name, your business and a postal address. Agents add what their state requires, such as the brokerage name and license number.
- Plain text, no images, one link at most. It should look like something you typed.
Two follow-ups, then stop
What never goes in the email
Use public-record signals to decide who gets an email, never as the content. An email that names the record that put someone on your list (a tax bill, a city notice, a court filing) reads as pressure, and rescue language ("save your home") can bring in mortgage-rescue rules. Send the same neutral note whatever the reason they're on your list.
Never guess addresses
What CAN-SPAM requires
What Gmail and Yahoo require
- 01
Authenticate your domain
Set up SPF and DKIM for every sender; DMARC is required once you send in bulk Email sender guidelines. - 02
Keep complaints low
Gmail wants spam reports below 0.3% and recommends staying under 0.1%. Yahoo uses the same 0.3% line. - 03
Make leaving easy
Bulk senders need one-click unsubscribe and must honor it within two days Sender best practices. - 04
Go slow
Start with a few emails a day per mailbox and raise volume gradually. Google says not to spike.
Parcel's Email Outreach ($49 a month) sends this kind of email a few a day from your own mailbox, adds the unsubscribe and your postal address, stops a sequence when someone replies, and skips leads whose court records a state puts off-limits for solicitation. Pair it with Deal Radar ($79) to choose who to write to.
